Exam step by step guide

  1. Find the exam folder in the examinations office.

  2. Get the office keys from the secretary.

  3. Bring a second person with you, second pair of eyes.

  4. Remove the filing cabinet key from key code safe **** in the file in the office.

  5. Remove the exam packets for the day from the cabinet.

  6. Check day, date, and exam subject code.

  7. Bring a copy of the ICE instructions to the exam room from the exam folder.

  8. Bring students to the exam room.

  9. Check identity of the students if necessary. External candidate.

  10. Check if any candidate has special approved arrangements.EG.  Extra time

  11. Advise the students that they are now under exam conditions.

  12. Students sit in their predetermined seats.

  13. Check the papers are correct and that the packet is still sealed.

  14. Open the packet with some scissors in front of students.

  15. If there is a problem with the exam paper call exam officer via mobile for help.

  16. Contact the exam board, for advice.

  17. Distribute the papers to the students.

  18. Check that the students have the correct paper, level etc.

  19. Tell the students to fill in the front cover of the exam.

  20. Subject teacher may not be present in the room.

  21. Read suggested exam warning (in exam room) to the students.

  22. Pause to collect phones mobiles apers etc. Leave outside exam room.

  23. Read emergency evacuation to students (in exam room).

  24. Check drinking bottles and pencil cases are see through.

  25. Write the centre number, subject codes, start and finish time on whiteboard.

  26. Students must not be offered any advice other than to read the instructions.

  27. You may read the instructions aloud for the students.

  28. Eratum notices if there are any read to the students.

  29. Malpractice, complete the incident report form.

  30. Remind students that possession of unauthorised material is malpractice.

  31. Tell the students y” You may start the exam”.

  32. Complete attendance register.

  33. You must not direct a student.

  34. Complete the seating plan (template in exam room)

  35. You must supervise throughout the whole of the exam.

  36. Students may not leave early.

  37. Emergency bathroom, seek assistance, staff member to enter the bathroom.

  38. Walk around the room regularly.

  39. If a student arrives late they may start and finish the exam.

  40. Notify the exam board of late arrivals. Reason for lateness.

  41. Students must be at the school a half an hour before the official start time.

  42. Cross through any withdrawn candidates.

  43. Attach address label to plastic envelope.

  44. At the end of the exam tell the students “the exam is finished”.

  45. Collect the student scripts, put in numerical order.

  46. Put the scripts with the top copy of the registration form in the envelope.

  47. Return attendance register and seating plan to exam office.

  48. Collect all unused scripts and return to exam office.

  49. Return completed scripts attendance register to exam office.

  50. Complete the audit trail in exam folder.

  51. No person may read the scripts.

  52. Post the scripts via courier within 24 hours or next working day.

  53. The courier will collect the sealed envelope, sign the script out (audit trail)

  54. If Friday, make sure scripts are locked away in exam office.

  55. Have those scripts collected at earliest possible time.

  56. All unused scripts may then be used for mock exams.
